Automated Order Processing

With detailed and correct information, there is no need for you to process orders manually. All the information you use, comes from BOLD, so why not let BOLD do this for you? Automated Order Processing will take care of all aspects of fulfilling and delivering the customer order. It will keep track of the delivery process of all products on the order and when it is done notify the customer of any updates or status changes.

Order Fulfillment Engine

At the core of the automated order processing is an Order Fulfillment Engine. This feature lets you set up the business rules needed for how to best fill an order. There are a number of fulfillment strategies that can be used, and the rules lets you select and prioritize these strategies. BOLD will then, for each order, try to use the best applicable strategy and process the order according to this strategy.

The strategies currently available are:

• Send from single warehouse

• Send from single warehouse, replenish from supplier

• Send from multiple warehouses

• Send from single supplier (drop shipment)

• Send from multiple suppliers (drop shipment)

• Send from any warehouse or supplier

• Send from single warehouse at any time, replenish rest

This means that you for instance can set up a rules like these:

1. Try to deliver as a single package from my main warehouse

2. If that doesn’t work, try to deliver as a single package from the buffer warehouse

3. If that doesn’t work, try to deliver from a combination of warehouses

4. If that doesn’t work, replenish items from suppliers to the main warehouse and then deliver as a single package

Order Fulfillment - Rule Evaluation

Multi Warehousing

Fulfillment rules let you efficiently utilize the features of Multi Warehousing. Orders with several products, located at different warehouses, can be automatically processed, selecting the best delivery option for that particular order.

Order Splitting and Reservations

Partial deliveries, i.e. splitting an order in parts and deliver each part separately, can be used to decrease delivery times. But partial deliveries also increases cost for freight and handling. You need to decide what’s best for your business and understand the needs of your customers. The Order Fulfillment rules are used to configure BOLD to handle partial deliveries the way you want, while still allowing manual overrides for specific orders, if needed.

If partial deliveries are not allowed, items on an order that are in stock are reserved for that order and are not available for sales. When the backordered item arrives at the warehouse, it is immediately reserved to the order and a dispatch order is sent to the warehouse. If partial deliveries are allowed the order fulfillment manager will issue a number of dispatch orders to different warehouses, or at different times, and will then keep track of each part of the delivery.

Regardless of how the order is fulfilled the Order Fulfillment manager will notify the customer of all status updates.

Automated Replenishment Process

If an order is placed for an item that is out of stock the Automated Replenishment process will generate a purchase request. The system will keep track of the status of the purchase, and when the item is received at the warehouse, it will be assigned to the order and a dispatch order is sent to the warehouse.

Multi Warehousing

BOLD has full support for Multi Warehousing. An unlimited number of warehouses can be used and with the Order Fulfillment Manager the complexity can be fully automated and eliminated. The system provides clear overviews and search capabilities that let you have full control of where all items are located and generate transfer orders of products between warehouses or relocation orders for moving products within a warehouse.

Item Level Tracking

Detailed knowledge of every item and its location is necessary to avoid errors and reduce time spent on each order. This is the Item Level Tracking. BOLD will keep track of all items being moved into, out of, within or between warehouses. Any change in stock levels or location, due to receiving, dispatching or stock taking, will be communicated to the rest of the system in real time. All other modules are fully aware of the accurate stock level and where the items are stored.

Optimized Picking Routes

When orders are ready to be delivered a dispatch order is sent to the warehouse. It will automatically generate and print a picking list with the items on the order. The Optimized Picking Routes feature will sort the items on the order to minimize walking distance, as this is very time consuming. When first introduced at one of our customers, the walking distance was reduced by 82 meters per picking on average. 1000 orders per day gives an 82 kilometer shorter walk!

Cross Docking

When a backordered item is received at the warehouse, the order fulfillment manager will be notified and will immediately send a dispatch order to the warehouse. The picking list generated will have the receiving area as the picking location for that product. The item will be picked and shipped directly, without ever being placed on a location in the warehouse and the turnaround time for the item is virtually zero. This is called Cross Docking and is an efficient way to reduce storage costs as well as unnecessary effort from the warehouse personnel.

Failsafe Packing

When all items are picked the picking list and the items are further processed at a packing station. The Failsafe Packing feature uses bar code scanners to minimize time and errors. A bar code on the picking list is scanned, loading the order in the system. Each item picked is then scanned and verified against the order. Only when completely done, an address label will be printed and put on the package. This will ensure that all items on the order, and no other items, are packed and shipped to the correct customer.

Warehouse Dashboard

We truly believe the warehouse is the heart of your business and therefore the system has an easily accessible Warehouse Dashboard where you can monitor the status and performance of the warehouse in real time. Number of Items received, number of items shipped, current stock value and turnover rate are examples of indicators that can be monitored.
